Summary: Superior Mechanical Services was founded in 2002 by three co-workers after their former employer closed. What started with a few used vans grew into a trusted residential and commercial service company serving the DC area. The key to their success? When a door closes, it sometimes swings wide open to a better opportunity. That was the case for Paul Wilson, Andy Weir, and Dottie Depfer back in 2002. The three co-workers suddenly found themselves at a crossroads when their longtime employer, a commercial plumbing company, shuttered its doors after more than 50 years in business. Instead of scattering to new jobs, the trio decided to take their 30+ years of experience in commercial plumbing, HVAC, new construction, and emergency services and build something of their own. And just like that, Superior Mechanical Services was born.

The new team was committed to maintaining their reputation of providing top-tier equipment and comprehensive professional services to both commercial and residential customers, supported by excellent customer attention and technical expertise. But there were so many moving parts to pull together.

Launching a new company meant making careful decisions at every turn, including one that doesn’t often get top billing in entrepreneurial success stories, but was still key to their early growth: fleet management. For a business built on responsive service calls across the greater DC area, often for emergency HVAC and plumbing issues, vehicles were not just an operational necessity, they enabled the company to serve customers with their trademark focus on rapid response and attentive customer service.

Upgrading the Fleet

At the start, the founders of Superior Mechanical Services did what many small businesses do: they stretched their budget by purchasing a handful of used vans. It got them on the road, but it quickly became clear that a growing service business required a more reliable solution – one not hamstrung by maintenance issues and aging vehicles.

The next step was leasing through a fleet management service, which relied heavily on timely, accurate reporting from the company’s busy team. Fuel spend, mileage, oil changes – all data had to be logged and transmitted to the fleet management provider. “Months would go by because we were so busy, and then we’d be scrambling because we wouldn’t know who had oil changes,” Depfer says. Without consistent input, the leasing model quickly became more of a hassle than a help.

Taking Greater Ownership

As the company continued to expand, the founders made a pivotal decision: bring fleet management back in-house and return to vehicle ownership. Since 2010, Superior Mechanical Services has committed to buying new. The results speak for themselves. Today, the company operates a robust fleet that includes Ford E-Series vans, Ford F-150s, utility trucks built on Ford chassis, and Peterbilt dump trucks. Owning the fleet gave Superior Mechanical Services more control and accountability – no more missed reports or unclear maintenance schedules. But with growth came another challenge: learning to efficiently manage day-to-day fleet operations.

A Tech Rev Up

Around the same time the economy hit a speedbump, the leadership team began asking tough questions about efficiency. How could they keep overhead costs down while continuing to increase service volume? This time, the answer came not in the vehicles themselves, but in the technology. Superior Mechanical Services reviewed options for fleet management and GPS tracking software, and selected SageQuest, a branded solution of the Fleetmatics Group (now Verizon Connect). For the past 16 plus years, this software has been a cornerstone of their operations. It’s integrated with Garmin devices in each vehicle to provide precise navigation, real-time mapping, and actionable insights into fleet performance. The software helps the team streamline routes, monitor fuel usage, and keep service delivery running on time, all while reducing unnecessary expenses.

A Winning Formula

From a trio of co-workers using a handful of used vans to deliver their signature services to a thriving company of 105 employees and a carefully managed fleet of more than 52 vehicles, Superior Mechanical Services has navigated the challenges of business growth with the same problem-solving mindset that sparked the company’s founding. The key has been a willingness to adapt – whether that meant leaving behind a leasing model that didn’t work, investing in vehicle ownership, or embracing software that keeps their team moving efficiently.
